How Mid-Market Companies Should Choose Payroll Software

Most companies start on Gusto or a similar small-business tool and move once headcount passes a couple of hundred, employees spread across states, or HR wants performance, time tracking and benefits on the same employee record. At that point payroll becomes an HCM decision, and finance usually shares it with HR.

What mid-market payroll has to handle

Payroll at this size is often run by one or two specialists with HR as co-owner. Accuracy and compliance matter more than new features, and a payroll error is visible to every employee.

  • Multi-state withholding and filings as remote hiring spreads employees across states.
  • Garnishments, union rules or certified payroll in some industries.
  • Time, scheduling and PTO feeding payroll without re-keying.
  • A GL export that maps payroll to departments and entities in your accounting system.
  • Employee self-service that cuts the questions payroll has to answer.

How mid-market criteria differ

  • Test your hardest scenario in the demo: a multi-state employee, a garnishment, a mid-period rate change.
  • Check how payroll journals post to the GL, by department and entity.
  • Decide between an all-in-one HCM suite and payroll connected to best-of-breed HR tools. Paycom favors the first; Rippling connects payroll to IT and spend as well.
  • Get implementation terms in writing. Some vendors implement directly, others through professional services or partners.

The shortlist, and why each tool is on it

Ordered for a US company of a few hundred employees with multi-state payroll.

1. ADP

ADP Workforce Now has the most mature US payroll engine in our profiles, covering multi-state taxes, union agreements, garnishments and certified payroll. Built for 50 to 1,000-employee companies with complex US payroll.

Watch for: An older interface, contract-driven pricing, and implementation through ADP's professional services (typically 4 to 8 weeks). Read the full ADP profile.

2. Paylocity

Modern payroll and HR for 100 to 5,000 employees, with employee features (social feed, peer recognition, on-demand pay) that people actually use.

Watch for: Less depth than ADP for union, certified or international payroll, and premium features add cost. Read the full Paylocity profile.

3. Paycom

Single-database HCM where employees review and approve their own paycheck through Beti before payroll runs, moving error detection to the employee. Paycom implements directly rather than through partners.

Watch for: A closed, single-vendor approach with limited third-party integrations. Read the full Paycom profile.

4. Rippling

Connects payroll to HR, IT and spend: a termination stops pay, locks devices and removes app access in one workflow. Fits companies of 10 to 2,000 employees.

Watch for: Union pay rules and complex garnishments are less mature than ADP or Paychex, and international payroll is partner-based. Read the full Rippling profile.

5. Paycor

Payroll plus talent and workforce management, with analytics built for people managers.

Watch for: Implementations can take longer than expected, and some modules trail dedicated point tools. Read the full Paycor profile.

Runner-up and who should skip what

Runner-up: Paychex Flex for companies up to about 500 employees that want an assigned payroll specialist rather than a self-serve platform. At the upper end of mid-market, add Dayforce if real-time labor cost visibility matters.

Usually a poor fit: Gusto past a couple of hundred employees or with complex multi-state rules. Our Gusto profile notes it gets outgrown by companies with complex payroll and by those with 200+ employees who need an enterprise HRIS.

Frequently asked questions

When should we move off Gusto?

+

Typical triggers are 200+ employees, complex multi-state rules, union or certified payroll, and HR needs like performance and scheduling on the same record. Gusto remains a good fit for smaller US companies.

ADP or Paylocity for a mid-market company?

+

ADP is the safer choice for complex US payroll: union, certified and heavy multi-state. Paylocity has a more modern employee experience and suits companies whose payroll is standard but who want HR tools employees will use.

What is Paycom's Beti?

+

Beti lets employees review and approve their own paycheck before payroll is processed, so errors are caught by the employee rather than by payroll staff after the fact.

How does payroll connect to our accounting system?

+

Most mid-market platforms export or sync payroll journals to the GL. Check that the mapping supports your departments, locations and entities, so finance isn't reclassifying payroll every month.
