Collection Email Templates

Most overdue B2B invoices are not unpaid because the customer refuses to pay. They are stuck: the invoice went to the wrong inbox, is waiting for an approval, or is missing a PO number. These collection email templates are written to find and fix that problem early, then become firmer only as the account ages. Every email carries the invoice number, amount, due date, and a way to pay. Pair it with our software category guides to see which tools fit your team. Once you have a shortlist, check the vendor profiles and the finance glossary for unfamiliar terms, then use our head-to-head comparisons before your first demo.

Built for: AR manager, Credit and collections analyst, Controller

What you get

  • Eight email templates with subject lines, from seven days before due to final notice
  • A sequence schedule with timing, owner, and tone for each step
  • A checklist of what every collection email must include
  • Tone guidance for moving from helpful to firm without burning the relationship

How to use it

  1. 1

Set the schedule to your terms. The timings assume standard net terms. Adjust the days in the schedule table, and load the templates into your AR or billing system so they send automatically from the invoice data.

  2. 2

Fill the placeholders from the invoice record. Every bracketed field should merge from the system: customer contact, invoice number, amount, due date, and payment link. Manual copy-paste is where wrong amounts get sent.

  3. 3

Stop the sequence when the customer engages. If the customer replies, disputes, or gives a promise-to-pay date, pause the automation and log the contact. Sending a 30-day notice after they have already agreed a date damages trust.

  4. 4

Add a call from day 15. Emails alone are easy to ignore. From the 15-day step onward, pair each email with a phone call to the AP contact.

AR Aging Report and Collections Tracker

An accounts receivable aging report is only useful if it drives the next phone call. This template calculates days past due and aging buckets automatically, then pairs the report with a collections log and an escalation ladder so every overdue invoice has an owner and a next action date. The reserve table ties the same buckets to your bad debt estimate.

13-Week Cash Flow Forecast

A 13-week cash flow forecast is built from cash, not from the P&L. It uses the direct method: what will actually land in and leave the bank each week. This 13 week cash flow template rolls closing cash forward automatically, checks every week against your minimum cash threshold and revolver availability, and includes a variance-to-actual log, because a forecast that is never compared with the bank statement never gets better.

Cash Conversion Cycle Calculator

The cash conversion cycle measures how many days cash is tied up between paying suppliers and collecting from customers: DSO plus DIO minus DPO. This calculator works it out for each period from figures you already have on the balance sheet and P&L, and shows the cash value of one day of DSO so improvements can be sized in dollars rather than days.

Frequently asked questions

How many collection emails should you send?

+

A common B2B sequence runs from a reminder before the due date to a final notice around 60 to 90 days past due, with six to eight messages in total. Pair emails with phone calls from roughly 15 days past due, since emails alone are easy to ignore.

What should a collection email include?

+

The invoice number, amount, original due date, days past due, a payment link or remittance instructions, and a named contact. Attach the invoice so the recipient does not have to look it up.

When should a collection email mention late fees?

+

Only if your contract or invoice terms actually provide for late fees or interest, and only once the account is clearly overdue. Mentioning fees you have no right to charge weakens your position.

Should collection emails be automated?

+

The early reminders are well suited to automation from your AR or billing system. Later steps benefit from a person sending them, and the sequence should pause as soon as the customer replies or gives a payment date.
