How Finance Teams Should Choose Accounts Payable Automation Software
For the people in AP, the job is a queue. Invoices pile into a shared mailbox, someone keys and codes them, approvers ignore the reminder, and vendors call asking when they'll be paid. Then comes the weekly payment run, part ACH and part paper checks. The right tool takes steps out of that loop, and the team can run it without opening an IT ticket.
What the AP team's week looks like
Think of a small AP function, often one to four clerks plus a manager, working a shared inbox and a weekly or twice-weekly payment run for a company on QuickBooks, Xero, NetSuite or a similar system.
- One inbox where emailed invoices arrive and get read automatically, instead of being downloaded and retyped.
- Coding suggestions that improve over time, so clerks confirm rather than look up every GL account.
- Approvals that reach managers by email or phone and nudge them without a clerk sending reminders.
- Payment runs that mix ACH, check and card from one screen, with the results synced back to the books.
- A setup the team can change on its own: adding an approver, a vendor or a coding rule without a consultant.
How an AP team should run the trial
- Forward a week of real invoices, including ugly scans and multi-page bills, to the tool's inbox and count how many need hand fixes.
- Time how long a new clerk takes to code and route an invoice after one short training session.
- Count seats honestly. Per-user pricing looks cheap for one clerk and expensive once every approver needs a login.
- Ask who prints and mails checks, and what it costs per payment, including voids and failed transfers.
- Check whether vendors can enroll in electronic payment, and who does the outreach to get them there.
The shortlist, and why each tool is on it
Ordered for a small AP team on a mainstream accounting system, from the most complete self-run inbox-to-payment tool to a narrow approvals add-on.
1. BILL
Bills land in a central inbox, route for approval by policy and are paid by ACH, check, card or international transfer, then sync back to QuickBooks, Xero or NetSuite. Pricing is published and a free trial is available in most cases, so the team can set it up itself.
Watch for: Per-user pricing ($49, $65 or $89 a month) adds up as clerks and approvers need seats, though Corporate adds discounted approver-only users. Automatic two-way sync starts on Team, and extras such as faster payments, check voids ($25) and failed ACH ($50) carry fees. Read the full BILL profile.
2. AvidXchange
Invoice capture, approval routing and payment execution through the AvidPay network, which handles checks, ACH and virtual cards. For teams in real estate, construction, financial services or healthcare with high invoice counts, it takes much of the payment run off the team's plate.
Watch for: The managed payment model gives you less direct control over payment timing and method, payment network fees add to cost, and ERP integration depth is limited for some systems. Read the full AvidXchange profile.
3. Yooz
AI capture, coding suggestions and approval routing, and a long list of ERP and accounting integrations, so check yours is on it. Our profile lists per-user pricing and a faster rollout than enterprise AP tools.
Watch for: Payments mostly run through your existing bank, so the payment run still happens outside Yooz. Advanced workflow customization is limited. Read the full Yooz profile.
4. Ramp
Bill pay and AP sit next to corporate cards with no software fees, and Ramp matches receipts and routes approvals automatically.
Watch for: Bill pay is newer and less mature than dedicated AP tools, the AP module needs a sales conversation, and you get the most from it only if the company also adopts Ramp cards. Read the full Ramp profile.
5. ApprovalMax
If the team's worst problem is chasing approvers and the books live in Xero or QuickBooks Online, ApprovalMax adds multi-step approval chains for bills, POs and expense claims quickly. Accounting firms also use it across several clients.
Watch for: It handles approvals only. Invoice capture, coding and payments still need another tool or manual work. Read the full ApprovalMax profile.
Runner-up and who should skip what
Runner-up: Tipalti, for AP teams whose vendor base is large or international. Suppliers onboard themselves and submit tax forms through a self-service portal, and the AP plan includes unlimited users, which removes per-seat math. It starts at $99 a month plus transaction fees and is more payment infrastructure than a domestic team needs.
Usually a poor fit: SAP Ariba or Coupa for a small AP team that has to run the tool itself. Our profiles describe implementations measured in months and scope built around procurement programs. Melio is the opposite gap: fine for paying a few vendors, but it does little AP automation beyond payments.

Frequently asked questions
How do we stop chasing approvers by email?
+
Pick a tool that sends the invoice to the approver with one-click approve or reject, reminds them automatically and escalates after a set time. ApprovalMax does only this, on Xero and QuickBooks Online; BILL, Yooz and AvidXchange include approval routing with capture and payment.
Can we stop printing checks?
+
Mostly. BILL and AvidXchange pay by ACH, card or check from the same run, so paper checks become the exception. Ask who prints and mails the remaining checks, how vendors are moved to electronic payment and what each check costs.
How do we handle vendor calls asking about payment status?
+
The first fix is internal: every invoice's status (received, approved, scheduled, paid) should be visible in one place so any clerk can answer in seconds. Some platforms, such as Tipalti, add a supplier portal; ask each vendor on your shortlist what suppliers can see themselves.
Does per-user pricing make sense for an AP team?
+
It works while few people log in. Count clerks, approvers and anyone who needs read access. BILL's Corporate plan has cheaper approver-only users, and Tipalti's AP plan includes unlimited users, which can change the comparison.
