How Controllers Should Choose Accounts Payable Automation Software

A controller rarely touches an invoice, but owns every consequence of one. A duplicate payment, a changed bank account nobody verified, or an invoice sitting in approval on the last day of the month all land on the controller's desk. The AP tool is judged by what it prevents and what it can prove afterwards, not by how fast a clerk can key a bill.

What a controller is accountable for in payables

The AP team runs the queue day to day. The controller designs the approval matrix, signs off the accrual, answers the auditors and decides who can change vendor records.

  • Approval limits and segregation of duties that the system enforces, so the person who enters an invoice can't also approve or release it.
  • PO matching (two-way or three-way against receipts) with exceptions held back from payment until someone resolves them.
  • Checks for duplicate invoices and alerts when a vendor's bank details or payment request look unusual.
  • A list at period end of invoices received but not yet approved, so they can be accrued instead of missed.
  • An audit trail per invoice that shows who coded, questioned, approved and paid it, exportable when the auditors ask.

What a controller should test before signing

  • Try to break segregation of duties in the demo: have one user enter, approve and release a payment, and see whether the system stops it.
  • Change a test vendor's bank account and watch what happens next. Who is notified, is a second approval required, and is the change logged?
  • Ask for the month-end view of unapproved and unposted invoices. If it only exists as a custom report, the accrual stays manual.
  • Pull one invoice's full history as your auditor would receive it, including comments and approval timestamps.
  • Measure GL coding accuracy on a sample of your own invoices, and ask how the tool learns when a coder overrides it.

The shortlist, and why each tool is on it

Ordered by how much of the control and close work each tool takes on, starting with fraud checks and accruals and ending with broader platforms that cover more than AP.

1. Medius

Medius pairs AI invoice processing with fraud detection and lists accrual management and spend analytics in the product, which are the two things a controller checks first. Payment execution is built in, so approval and payment release happen in one system.

Watch for: It is most often evaluated by companies on Microsoft Dynamics or SAP, and our profile notes a smaller partner ecosystem and extra setup for advanced reporting. Ask for a written implementation plan. Read the full Medius profile.

2. Stampli

Every question, coding change and approval stays attached to the invoice, which gives you audit evidence without rebuilding email threads. The AP package includes semi-automated 2- and 3-way PO matching and unlimited entities.

Watch for: Fully automated PO matching costs extra, and advanced vendor management sits in the higher Beyond Accounts Payable package, so confirm which vendor master controls are in the tier you're quoted. Pricing is quote-based with no free trial. Read the full Stampli profile.

3. Tipalti

Suppliers onboard themselves and submit tax forms, with W-9 data extracted automatically, which keeps AP staff out of vendor master and tax form entry. The AP plan includes 2- and 3-way matching and AI GL coding, and payment reconciliation happens in the same system.

Watch for: Approval workflows are less refined than Stampli's, and transaction fees sit on top of the platform fee (from $99 a month for AP). Read the full Tipalti profile.

4. Basware

Our profile credits Basware with strong three-way matching and exception handling, plus visibility into invoice status and cash timing. A fit for controllers at larger, PO-heavy organizations, especially with European e-invoicing obligations.

Watch for: Implementation needs significant configuration, the interface feels dated next to newer tools, and custom reporting takes time to learn. Read the full Basware profile.

5. Esker

Covers both AP and AR, so a controller who owns both subledgers deals with one vendor and one platform across payables and receivables. Our profile notes strong SAP integration and NetSuite support.

Watch for: Neither module is the deepest specialist on its own, and some modules are licensed separately, so price the AP scope you actually need. Read the full Esker profile.

Runner-up and who should skip what

Runner-up: SAP Ariba, for controllers at SAP-centric companies. Our profile lists strong compliance and audit trail features and native S/4HANA and ECC integration, but it has no advantage outside SAP and implementation is a long project.

Usually a poor fit: Treating ApprovalMax as the whole AP control environment. It adds multi-step approvals to Xero and QuickBooks Online, which helps, but it handles approvals only, with no matching or payment controls. Melio is also a poor fit here: it pays vendors but offers little AP automation beyond payments.

If purchase orders are where your matching breaks down, see purchase order software for controllers. For the ledger side of the close, see accounting software for controllers.

Frequently asked questions

How does AP automation help with month-end accruals?

+

Once every invoice is captured on arrival, the system knows what has been received but not yet approved or posted. Ask each vendor to show that list as of a cutoff date. Medius lists accrual management in its product; with other tools, confirm whether the report is standard or custom.

What stops a fraudulent bank detail change?

+

Look for three things: changes logged with the user and time, a second approval before new details are used for payment, and alerts on unusual payment requests. Supplier self-onboarding, as in Tipalti, also reduces how often AP staff edit bank details at all.

Is two-way matching enough, or do we need three-way?

+

If you receive goods against POs, three-way matching against receipts catches short shipments and price changes that two-way matching misses. For services and subscriptions, two-way matching against the PO is usually enough.

What will our auditors want to see from the AP system?

+

Usually a sample of invoices with evidence of approval by someone with the right authority, proof that the approver was not the preparer, and a log of vendor master changes. Test that you can export this for a sample yourself before you sign.
