Monthly Management Reporting Pack

Management reporting fails when the pack is long, late, and describes numbers without explaining them. This pack is built around a fixed structure that leadership learns to read quickly, a P&L that compares to both budget and prior year, and a three-part commentary framework: what happened, why, and what we are doing about it. It ships on a set business day every month. Pair it with our software category guides to see which tools fit your team. Once you have a shortlist, check the vendor profiles and the finance glossary for unfamiliar terms, then use our head-to-head comparisons before your first demo.

Built for: CFO, Controller, FP&A manager

What you get

  • A pack contents list with owner, source, and page budget for each section
  • A P&L summary against budget and prior year with live variance formulas
  • A KPI scorecard with target, prior month, and status
  • A cash and runway table with a live runway calculation

How to use it

  1. 1

Fix the contents and keep them fixed. Agree the sections and page budget with the executive team once. A pack that changes shape every month is slower to produce and slower to read.

  2. 2

Build the numbers from the locked close. Populate the P&L, scorecard, and cash tables after the books are locked, not from a draft trial balance. Changes after distribution erode trust in the whole pack.

  3. 3

Get commentary from owners, edit centrally. Budget owners write the why and the action for their lines; FP&A edits for length and consistency. Finance should not guess at operational causes.

  4. 4

Distribute on the same business day. Publish the calendar and hit it. A reliable date matters more than an early one, because leaders plan their reviews around it.

Budget vs Actual Template

Most budget vs actual reports get the arithmetic right and the reading wrong. A $20k overspend on revenue lines is good news and a $20k overspend on cost lines is not, yet many sheets colour both the same way. This template flags favorable and unfavorable by line type, and forces a driver and an action for every material variance so the report explains the month instead of restating it.

Finance KPI Dictionary

Two people reporting the same KPI with different definitions is worse than not reporting it, because the argument moves from the business to the arithmetic. This dictionary gives standard definitions for over forty finance KPIs, grouped by area, with an owner and a reporting frequency for each. Adopt the definitions, note any deliberate deviation, and publish it with your reporting pack.

Board Deck Outline

A good board deck is a decision document, not a quarterly diary. Directors should be able to read it in advance, arrive knowing where the company stands against plan, and spend the meeting on the two or three questions that need their judgment. This outline gives each slide a purpose, the content that serves it, a chart that fits, and the mistake that most often undermines it.

Frequently asked questions

What is management reporting?

+

Internal reporting prepared for the leadership team to run the business, usually monthly. Unlike external financial statements it is not bound by a fixed format, so it can combine financial results, KPIs, forecasts, and commentary in whatever form helps decisions.

What should a monthly management reporting pack include?

+

An executive summary, a P&L against budget and prior year, a KPI scorecard, cash and runway, balance sheet highlights, and department reports with commentary. Full statements and KPI definitions belong in an appendix.

How soon after month-end should the pack be distributed?

+

It depends on how fast you close. The example calendar distributes on business day 9 after a five-day close. What matters most is a fixed, predictable day that follows a locked close, so the numbers do not change after leadership has read them.

How should variance commentary be written?

+

Answer three questions for each material variance: what happened, why it happened, and what you are doing about it. State whether the variance is timing or permanent, and name an owner for the action.
