Medius: accounts payable automation software platform

Medius publishes two packages and no prices. Checked 16 October 2026, its pricing page names Medius AP Essentials and Medius AP 360, lists what each contains, and routes you to a custom quote. Both include unlimited users, so the quote rests on scope and entity count. Buy it for AP on a serious ERP. Skip it if you run several legal entities on a budget.

Medius in brief

Medius publishes two packages and no prices.

Price
None, quote only · Quote-based custom contract, two AP packages with unlimited users
Best for
Mid-market and enterprise AP where purchase order matching is the work
Watch out for
You give up the ability to check the quote against anything.

The short answer

Buy Medius if your system of record is Dynamics 365, NetSuite, Oracle Fusion, JD Edwards, SAP S/4HANA or one of the Infor products, and you process enough invoices that multi-way matching and exception handling are the work rather than data entry. Unlimited users on both packages means every approver, plant manager and controller can have access without a seat argument.

Skip it if you run more than three legal entities and have not priced the extras, because AP Essentials includes one entity and AP 360 includes three, and everything past that is a conversation. Skip it too if you need fraud detection, the supplier portal or Copilot on a small budget, since those only arrive with the upper package, and skip it if you want a figure before a sales call.

Where Medius fits

Medius is mid-market and enterprise AP automation that assumes you already have a real ERP and intend to keep it. The integration list is the tell: Microsoft Dynamics 365, Oracle NetSuite, Oracle Fusion, Oracle JD Edwards, SAP S/4HANA, and the Infor family including M3, LN, Visual, CloudSuite Distribution and SyteLine, plus Iptor and Yardi. Those are manufacturing and distribution ledgers, and the industries Medius names match: manufacturing, transport and logistics, retail, construction, food and beverage, healthcare and consumer packaged goods. If your invoices arrive against purchase orders and goods receipts rather than as one-off bills, you are the intended buyer.

The pricing metric is the strongest fit signal and it is unusual. Both published packages list unlimited users, which removes the calculation that dominates per-seat AP tools. On a per-user product, the plant manager who approves six invoices a month costs the same as the AP clerk who processes six hundred, so companies ration access and approvals route through people who should not be touching them. Here you can give access to everyone who ought to have it. The flip side is that something else must set the price, and Medius does not say what, which makes the quote conversation the whole evaluation.

Entity count is the hard edge, and it is published. AP Essentials is listed with one entity and one sandbox environment; AP 360 is listed with three entities and one sandbox. For a single-company business that boundary never bites. For a group that has grown by acquisition and runs discrete AP per entity, it bites on day one, and the package step from Essentials to 360 is as much about entities as about features. Count the entities you need now and in two years before you let anyone recommend a package.

The package step itself buys AI and supplier-facing capability. AP Essentials covers AP automation with multi-way matching, prepayments, recurring invoices, Medius Capture, Medius Analytics and standard support. AP 360 keeps all of that and adds Medius Copilot, the conversational assistant for approvers grounded in your own data, Supplier Conversations, which answers supplier invoice and payment emails automatically, Fraud and Risk Detection, and the Medius Supplier Portal. If the cost you are trying to remove is your AP team answering "where is my payment" emails, Supplier Conversations is the reason to go up a package rather than a nice extra.

Where Medius stops is the rest of spend, at least inside the AP package. Payments, Supplier Onboarding, Procurement, Sourcing, Expense Management and Contract Management all exist and all sit outside the two AP packages, added to a subscription at additional cost in Medius's own words. The company says it serves more than 3,000 companies worldwide, publishes its site in Swedish, French, Dutch, Danish and Norwegian alongside English, and lists a United States office in Jacksonville, Florida, so European multi-language operations are well served. A team briefed to consolidate AP, cards and expenses should price the whole suite rather than the AP line.

Medius pricing

Medius publishes no prices, but it does publish the shape of the decision. Its pricing page, read on 16 October 2026, names two AP packages, Medius AP Essentials and Medius AP 360, sets out what each contains down to the entity and sandbox counts, and then asks you to contact sales for a custom quote. That is more useful than it sounds: because both packages list unlimited users, you already know the quote is not a seat count, and because entities are published, you know where one real boundary sits. What you do not know is the metric, and that is the first thing to extract.

What Medius publishes

Medius AP Essentials
Quote only, no figure published (Custom quote, unlimited users included)Medius AP Automation with multi-way matching, prepayments, recurring invoices, Medius Capture and Medius Analytics, standard support, unlimited users, one sandbox environment and one entity.
Medius AP 360
Quote only, no figure published (Custom quote, unlimited users included)Everything in AP Essentials plus Medius Copilot, Supplier Conversations, Fraud and Risk Detection and the Medius Supplier Portal, with unlimited users, one sandbox environment and three entities.
Medius spend suite additions
Quote only, added at additional cost (Added to either AP package)Medius Payments, Supplier Onboarding, Procurement, Sourcing, Expense Management and Contract Management. Medius states these can be included in a subscription package at additional costs, with no price published for any of them.

Package contents as published on the Medius pricing page and checked on 16 October 2026. The page carries feature lists, entity and sandbox counts and a Request Quote route, and no figures. Medius labels the navigation item Pricing Plans and the packages Medius AP Essentials and Medius AP 360, so treat different package names found elsewhere as out of date.

Four things move the number, and the first one Medius leaves entirely to you to ask about.

  1. The metric, because users are explicitly not it. Both packages list unlimited users, so the price has to rest on something else, most plausibly invoice volume. Nothing on the pricing page names it. Get the metric written into the order form along with the included band, the overage rate and what happens when you cross a boundary mid-term, because without that you cannot compare two Medius quotes let alone Medius against anyone else.
  2. Entity count, which is the one hard limit that is published. AP Essentials includes one entity, AP 360 includes three. Ask the per-entity price for the fourth and beyond, and ask whether additional sandbox environments beyond the single one included are chargeable, because a group that tests changes properly will want more than one.
  3. The package step, which is a features decision with a visible shape. Copilot, Supplier Conversations, Fraud and Risk Detection and the Supplier Portal only come with AP 360, and they are not sold individually. Ask for both packages priced so the gap between them is a number you can look at, rather than a recommendation from the person selling the upper one.
  4. The rest of the suite. Medius Payments, Supplier Onboarding, Procurement, Sourcing, Expense Management and Contract Management are additions at additional cost. If you intend to pay suppliers through Medius, including virtual cards, get the software price and any per-payment fees quoted separately from the AP subscription, and get the price of adding procurement in a year while the first contract is still unsigned and you still have room to negotiate.

What costs extra

  • The suite modules Medius names as additions to either AP package at additional cost: Medius Payments, Supplier Onboarding, Procurement, Sourcing, Expense Management and Contract Management. No price is published for any of them.
  • Services. Medius markets Professional Services, a Rapid Implementation option, an Elevate Advisory Program and Premium Support as separate items, so ask which of those is in your quote, what each covers, and at what cost.
  • Entities beyond the one in AP Essentials or the three in AP 360, and sandbox environments beyond the single one included. Both are published limits with unpublished prices attached.

Implementation and commercial terms

The rows below are what the Medius pricing page confirms as of 16 October 2026. It is generous about package contents and silent about cost, so read the absences as questions for sales.

Budget Medius in three parts and refuse to accept one number. First the AP package, with the metric and the volume band named in the order form and both packages priced so the step between them is visible. Second the entities: one or three are included, so price the fourth before you sign rather than at your next acquisition. Third the suite and the services, because Payments, Procurement and Expense Management are explicitly additions at additional cost and the implementation options are sold separately. Then benchmark the total against the only vendors here that publish anything: BILL's per-user rates and Tipalti's starting platform fee. Neither is a like-for-like product, but a quote-only vendor should have to explain the difference out loud.

What Medius gives up

You give up the ability to check the quote against anything. No figure, no starting price and no metric are published, so you cannot tell whether the number you receive is standard, whether a company your size paid less, or whether a renewal uplift is defensible. The remedy is a competitive process where two quotes discipline each other, plus multi-year discount and exit terms negotiated in the first contract. That costs evaluation time, which is the real price of quote-only pricing.

You give up entity headroom unless you pay for it. Published package contents stop at one entity for AP Essentials and three for AP 360, and nothing published says what the fourth costs. For a group that buys companies, that is a cost that arrives exactly when you are busiest. Ask for a per-entity rate in the contract rather than a promise to be reasonable later.

You give up the AP 360 capabilities if you buy Essentials, and they are not available individually. Fraud and Risk Detection, the Supplier Portal, Copilot and Supplier Conversations are package features rather than modules, so the way to get fraud controls is to buy the upper package. That is a clean commercial design and it means the decision is coarse: you cannot take fraud detection and leave the rest.

You give up a one-platform spend story inside the AP line. Payments, Procurement, Sourcing, Expense Management, Supplier Onboarding and Contract Management are all real products and all cost extra. If your CFO's brief is to retire three tools, price the suite properly at the start, because discovering the add-on list after the AP contract is signed is the expensive order to do it in.

You give up a self-serve trial. There is no free trial: the routes in are Explore Packages, Request Quote, Schedule a consult, Book a Demo, a product tour and an RFx start. That is a well-equipped enterprise buying process and it is still not the same as running your own invoices through the product. Insist on a scoped proof of concept against your ERP, and treat the product tour as a brochure.

How Medius compares

The first useful cut in this category is what a vendor will tell you before a sales call. BILL publishes full per-user rates and Tipalti a starting platform fee, both checked on 25 September 2026. Medius and Rillion both publish plan structures with no figures, which at least tells you what the decisions are. Every price cell below comes from that vendor's own pricing page and nothing is estimated.

ToolBest forPriceWhere it breaks

RillionAP teams who want unlimited users, approvers and entities on a published feature matrixNot published, quote onlyInvoice capture and PO matching are add-ons on every plan, and payments is United States only

What to test in a Medius demo

No free trial is listed, so this is a demo, a product tour and a scoped proof of concept. Because the package contents are published and the price is not, the demo should settle which package you need and the commercial conversation should settle what it rests on.

  1. Count entities first, then book the demo. One entity is included in AP Essentials and three in AP 360, so your legal structure may have chosen the package before any feature does. Bring the number you expect in two years, not today's, and ask for the per-entity price in the same breath.
  2. Test multi-way matching on your own exceptions. Bring a short delivery, a price variance against a purchase order and an invoice that arrives before the goods receipt, and watch how much a person still does on each. This is a manufacturing and distribution product, so matching accuracy is the capability you are actually buying.
  3. Decide whether AP 360 earns the step. Ask to see Supplier Conversations answering a real supplier email about payment status, and Fraud and Risk Detection flagging a changed bank account. Those two are the practical arguments for the upper package; Copilot and the Supplier Portal are easier to assess once you have seen them.
  4. Get the metric named in the first commercial call. Users are unlimited, so ask directly what the price is built on, what band the quote assumes, what the overage costs, and whether the price re-rates at renewal if volume has grown. An unanswered question here is a reason to slow the process down.
  5. Price payments and services as separate decisions. If you plan to pay suppliers through Medius, including virtual cards, get the software price and the per-payment fees separately, and ask which of Professional Services, Rapid Implementation, the Elevate Advisory Program and Premium Support is inside your quote. Ask about data export rights for the invoice archive and the vendor master at the same time.

Frequently asked questions about Medius

How much does Medius cost?

Medius publishes no prices. As of 16 October 2026 its pricing page shows two AP packages, AP Essentials and AP 360, with feature lists and a contact route for a custom quote. Both include unlimited users, so expect the price to be built from scope, entity count and invoice volume.

What is the difference between Medius AP Essentials and AP 360?

AP Essentials covers core AP automation, multi-way matching, prepayments, recurring invoices, Medius Capture and Analytics, with one entity. AP 360 adds Medius Copilot, Supplier Conversations, Fraud and Risk Detection and the Supplier Portal, and supports three entities. Both list unlimited users and one sandbox environment.

Does Medius charge per user?

No. Both published packages state unlimited users as of 16 October 2026, which removes seat count as a cost driver and means approvers outside finance cost nothing to add. Ask instead about invoice volume, entity count beyond the one or three included, and suite additions such as Payments or Procurement.

What does Medius do?

Medius automates accounts payable from invoice capture through coding, multi-way matching and approval, and sells a wider spend suite around it covering payments, procurement, sourcing, expenses, contracts and supplier onboarding. It sits in front of your ERP rather than replacing it, and markets an agentic AI layer across invoice-to-pay.

Which ERPs does Medius integrate with?

Medius publishes integrations with Microsoft Dynamics 365, Oracle NetSuite, Oracle Fusion, Oracle JD Edwards, SAP S/4HANA, Infor M3, LN, Visual, CloudSuite Distribution and SyteLine, plus Iptor and Yardi. That list leans heavily towards manufacturing and distribution ledgers, which matches the industries Medius sells into.

How many entities does a Medius package include?

AP Essentials is listed with one entity and AP 360 with three, both with one sandbox environment, as published on 16 October 2026. Nothing published says what an additional entity or sandbox costs, so a group running several legal entities should get a per-entity rate in the contract.

Does Medius offer a free trial?

No trial is listed. The pricing page offers Explore Packages, Request Quote, Schedule a consult and Book a Demo, and the site adds product tours and an RFx start. Ask for a scoped proof of concept against your own ERP, because a product tour is a brochure rather than a test.

Does Medius include fraud detection?

Only in AP 360. Medius Fraud and Risk Detection is a package feature rather than a separately purchasable module, as is the Supplier Portal, Copilot and Supplier Conversations. If detecting a changed supplier bank account matters to you, that requirement decides your package rather than being an add-on line.

Does Medius have a pricing calculator?

Not for price. The site publishes a Savings Calculator and a Payment Maturity Assessment, which model your potential benefit rather than Medius's fee, and the pricing page itself routes to a quote. Treat vendor-built calculators as sales tools and ask for the subscription figure separately.

What are the main Medius alternatives?

Rillion is the closest comparison, with unlimited users, approvers and entities on all three of its quote-only plans. Basware and Tungsten Automation compete at the enterprise end and publish nothing either. For a published rate to anchor a business case, BILL lists per-user prices and Tipalti a starting platform fee.
