How Controllers Should Choose AR Automation Software

The controller doesn't chase customers but signs off on the AR balance. Unapplied cash sitting in a suspense account, an aging that won't tie to the general ledger, and credit memos nobody can explain are the problems that show up at close and again at audit.

What a controller needs from AR automation

The controller answers for the balance sheet line. The collections team may run the tool day to day, but its postings, reports and approvals land on the controller's desk.

  • Cash application that posts to the ERP with little manual matching, and a short, explainable unapplied cash list at month end.
  • An AR subledger that agrees to the general ledger and to bank receipts without spreadsheet bridges.
  • An aging report you can hand to auditors and use to support the bad-debt reserve.
  • A log of who changed what: payment matches, disputes, credits and write-offs.
  • Approval steps before credits or write-offs post, with limits by role.

Controller-specific criteria

  • Weight cash application and ERP posting above collections features. A faster reminder doesn't help if the payment then sits unapplied.
  • Bring last month's bank file and remittances to the demo, and ask what the tool matches automatically and what it leaves for a person.
  • Ask for the audit log on a sample transaction: who applied it, when, and what changed.
  • Test whether a collector can issue a credit or write-off without approval. If they can, find out how to stop it.
  • Check that the aging in the tool matches the ERP aging to the dollar on the same date.

The shortlist, and why each tool is on it

Ordered by how much of the invoice-to-posting chain each tool owns, since every hand-off between systems is a place where the subledger and the bank can disagree.

1. Billtrust

Invoice delivery, payment acceptance and cash application run on one platform, with AI matching on the cash side. With fewer vendors between the invoice and the posting, there are fewer breaks to reconcile at month end.

Watch for: The reconciliation benefit depends on adopting the delivery and payment pieces too, and implementation is a project of months. Pricing is by quote only. Read the full Billtrust profile.

2. HighRadius

Matches remittances to invoices with AI agents and handles deductions, and it also sells record-to-report modules for close and reconciliations. A controller can put AR cash application and account reconciliation under one vendor.

Watch for: Enterprise scope: modules are priced separately, there is no trial, and a full rollout takes months. Finance and IT both need to commit time. Read the full HighRadius profile.

3. Paystand

Moves customer payments bank to bank on a subscription instead of per-transaction fees, and records transactions with blockchain verification for the audit trail. It integrates with NetSuite and Sage Intacct and covers invoicing, collections and cash application.

Watch for: Customers have to adopt bank-to-bank payment, which takes education, and the blockchain layer may be more than your auditors need. Read the full Paystand profile.

4. Versapay

Cash application posts to the ERP automatically, and customers raise disputes in the portal on the same record the AR team works from. That gives the controller a documented reason behind short payments and credits.

Watch for: Payment processing fees are quoted separately from the software, and our profile rates very high-volume cash application as less mature than HighRadius or Billtrust. Read the full Versapay profile.

5. Invoiced

The quickest route to cleaner AR for a smaller controller team: invoicing, payments, dunning and cash application in one place, from one vendor.

Watch for: Cash application rules are basic next to HighRadius, and credit management is limited. Complex remittances will still land on someone's desk. Read the full Invoiced profile.

Runner-up and who should skip what

Runner-up: Order2Cash, for controllers in Europe who need AR tied to e-invoicing compliance, credit management and dispute handling. It's not on the list because full value depends on adopting several modules, and US-focused teams may find local support limited.

Usually a poor fit: Collections-first tools like Chaser or Kolleno when the controller's pain is unapplied cash; our profiles note limited cash application for Chaser and still-maturing reporting for Kolleno. Tesorio is also the wrong buy if lockbox and cash application are the main problem.

If the goal is matching payments, start with cash application software. At shared-service volumes, compare AR automation for enterprise teams.

Frequently asked questions

What should a controller check before signing an AR automation contract?

+

Run a month of your own bank files and remittances through the tool, compare its aging to the ERP aging on the same date, and review the audit log for a few applied payments and credits.

Will AR automation reduce unapplied cash?

+

It should, if payments arrive with usable remittance data. Measure unapplied cash at the last three month ends before you buy so you can see whether it actually drops.

Can AR software calculate our bad-debt reserve?

+

Treat that as your own calculation. What you need from the tool is an aging and dispute history you trust enough to base the reserve on and show to auditors.

Who should own the AR tool, the controller or the collections team?

+

Collections usually runs it day to day. The controller should own the posting rules, the approval limits for credits and write-offs, and the reconciliation to the general ledger.
