Every approver is a paid seat
BILL prices per user: $49 on Essentials, $65 on Team and $89 on Corporate each month. On Essentials and Team an approver costs the same as an AP clerk; discounted approver-only users start on Corporate.
BILL is the default AP pick for small businesses on QuickBooks or Xero, with published per-user plans from $49 a month and a free trial in most cases. Teams look elsewhere when seat costs climb, payment fees add up, or they need 3-way matching, multi-entity AP or many international suppliers.
We rely on vendor documentation, pricing pages and other primary sources. We do not use G2 or Capterra ratings as ranking inputs.
Material corrections can be submitted through the contact page. We update pages when a claim can be verified against a stronger source.

Melio, Ramp and Brex cost less to start, ApprovalMax adds approvals on top of Xero or QuickBooks, and Stampli, Tipalti and Airbase suit larger or more international AP teams.
A reason to switch has to be structural: the pricing model, the ERP it has to sit inside, a deployment or security constraint, or the admin effort to keep it running. If none of the reasons below describes your setup, the migration will cost more than the problem it solves, and the BILL profile is the better place to spend an hour.
BILL prices per user: $49 on Essentials, $65 on Team and $89 on Corporate each month. On Essentials and Team an approver costs the same as an AP clerk; discounted approver-only users start on Corporate.
BILL charges $0.59 per ACH payment, $1.99 per mailed check and $19.99 per international USD wire. A team paying hundreds of vendors a month should model those fees next to the seat price.
Essentials only imports and exports CSV files. Two-way sync with QuickBooks Online, QuickBooks Desktop and Xero starts on Team.
BILL is less suited to multi-entity groups with high invoice volumes and 3-way matching, or to paying many international suppliers. Stampli and Tipalti are built for that.
Read the last column first. Ruling an option out is quicker than ranking what is left, and every tool in this table gives something up. If more than one person has to sign off, record each reason in the software evaluation scorecard as you work down the rows.

Nothing here is ranked, because this site publishes no scores. Each entry names who it suits better than BILL, what the vendor charges and what you give up by taking it, so an entry whose "best for" is not you is one you can drop without reading further.

Staying put is the right answer more often than a shortlist implies. BILL has to be wrong on something you cannot configure or negotiate around before a move pays for itself, and what BILL actually charges usually settles whether cost is that thing.
Stay with BILL if you are a small or midsize business on QuickBooks or Xero, your approval chains are short, and you value public pricing and a setup that needs no project.
Facts and prices on this page come from each vendor's own site, checked on 25 Sep 2026. Vendors change prices and packaging without notice, so confirm before you budget.
Cut the list to two or three, not five. Put the BILL profile next to them, send every vendor the same scoping questions so the quotes come back comparable, and ask each one what the first ninety days look like.
Do the arithmetic before the demo. The software ROI calculator shows whether the saving covers implementation, and the full list of accounts payable automation software is where to widen the field if none of these fit.
Melio and Ramp both have free plans. Melio's Go plan is free for one user with 5 free ACH payments a month, and Ramp's free plan covers cards, expenses and bill pay with QuickBooks Online and Xero sync.
Tipalti is built for it: it pays suppliers in 200+ countries and territories and 120 currencies, with tax form collection. BILL does international transfers, including USD wires at $19.99 each, but is less suited to large international supplier bases.
Tipalti (unlimited users on its AP plans), Melio's Unlimited plan ($80 a month) and ApprovalMax (unlimited approvers) avoid per-seat pricing. Stampli includes unlimited entities, locations and vendors, but its pricing is quote-based.
Yes, in most cases, per BILL's pricing FAQ. Plans then start at $49 per user per month on Essentials.
