Kolleno: ar automation software platform
Kolleno publishes prices, which in AR automation is rare. Checked 16 October 2026, Business Pay is $545 per user per month on annual billing and Business Plus is $995, with two Enterprise tiers marked Custom. Buy it if you run Xero, QuickBooks or Sage Intacct. Its ceiling is your ERP.
Kolleno in brief
Kolleno publishes prices, which in AR automation is rare.
- Price
- $545 per user/month on annual billing (Business Pay) · Per user per month with a minimum seat count; two Enterprise tiers quoted
- Best for
- Mid-market AR teams on Xero, QuickBooks or Sage Intacct
- Watch out for
- You give up the published price the moment your ERP changes.
The short answer
Buy Kolleno if your collections run out of a shared inbox and a spreadsheet, your ledger is Xero, QuickBooks or Sage Intacct, and you want a price you can read before a sales call. The published plans cover the collections inbox, a customizable payment portal, payment links and a customer dashboard, and Business Plus adds workflow automation, reporting and AI agent support with three hours of onboarding.
Skip it if you run NetSuite, Microsoft Business Central, SAP or Oracle Fusion, because those connectors are listed only from Enterprise and the published prices stop applying to you. Skip it if you need more than one business entity or more than one region, both of which are capped at one on the two priced plans. And skip it if a per user charge in the hundreds of dollars a month cannot work for a team of collectors.
Where Kolleno fits
Kolleno sells the whole order-to-cash cycle as one platform with AI agents doing the execution: collections management, online payments, cash application, disputes, credit risk and cash flow forecasting. The design idea is that you upload your credit policy, set the rules, and then choose how much autonomy each agent gets, from insight-only through drafting work as a copilot to executing on its own. That autonomy dial is the useful part of the pitch, because it lets a credit controller keep sign-off on tone and escalation while the chasing itself runs unattended.
The thing that decides fit faster than any feature is your ERP, and Kolleno's own pricing table says so plainly. Business Pay and Business Plus list Xero, QuickBooks and Sage Intacct, with Clio added on Business Plus. NetSuite, Microsoft Business Central, SAP and Oracle Fusion appear only on Enterprise, and custom ERP work only on Enterprise Plus. So a mid-market team on Xero is reading a real price, while a NetSuite shop of the same size is reading a brochure. Work out which of those two you are before you model anything.
Size is built into the packaging rather than left to a sales conversation. The comparison table ties Business Pay to annual turnover under one million pounds and fewer than 100 invoices, Business Plus to one million to 100 million pounds and fewer than 300 invoices, Enterprise to 100 million pounds to one billion pounds and over 1,000 invoices, and Enterprise Plus above that. Unusually for this category, the vendor has published where it thinks you belong, which makes the plan choice an arithmetic question rather than a negotiation. It also means a company with many small invoices can hit an invoice ceiling well below its turnover band.
Multi-entity and multi-region are where the priced plans stop. Both Business Pay and Business Plus list one business entity, one region and one ERP account. Multiple accounts, multiple entities and unlimited regions all arrive with Enterprise, as does auto reconciliation. If you have grown by acquisition or you invoice from more than one country, the published rate card is not describing your deployment, and the honest reading is that you are an Enterprise buyer with a quote to extract. Kolleno says it recognises more than 150 currencies and reports in the currency of your country of establishment, so the currency handling is there; it is the entity and region counts that gate you.
The communications layer is metered by plan, which matters more than it sounds. SMS and calls are bundled at 100 each on Business Pay, 200 each on Business Plus, 400 on Enterprise and 600 on Enterprise Plus, and no overage rate is published. If your collections strategy leans on phone and text rather than email, those allowances are a real constraint on the two plans you can price, and the question of what a call above the allowance costs has no published answer.
Kolleno pricing
Kolleno publishes prices for its two lower plans and quotes the rest. Checked on 16 October 2026, Business Pay is listed at $545 per user per month on annual billing and $650 per user per month on monthly billing, and Business Plus at $995 and $1245 on the same basis. Enterprise and Enterprise Plus are marked Custom with a Speak to Sales button. Two things turn those headline figures into a budget: the price is per user, and every plan carries a minimum user count.
What Kolleno publishes
- Business Pay
- $545 per user/month (Annual billing, or $650 per user/month billed monthly. Minimum 1 user)Xero, QuickBooks and Sage Intacct on one ERP account, customizable payment portal, multiple payment options, payment links, customer dashboard and collections inbox management. Self-onboarding, 100 SMS and 100 calls, one entity and one region.
- Business Plus
- $995 per user/month (Annual billing, or $1245 per user/month billed monthly. Minimum 2 users)Adds Clio alongside Xero, QuickBooks and Sage Intacct, plus invoice dashboard, customer portfolios, team collaboration, reporting and analytics, workflow automation and AI agent support. Three hours of training and onboarding, 200 SMS and 200 calls.

- Enterprise Plus

Prices as published on the Kolleno pricing page and checked on 16 October 2026. Prices are shown in US dollars while the turnover bands in the comparison table are in pounds, so confirm the billing currency before you sign.
Four things set which plan you land on, and only the first is obvious from the headline price.
- The minimum seat count, because it sets your floor. Business Pay needs at least one user, Business Plus at least two, Enterprise at least three and Enterprise Plus at least four. The published figures are per user per month, so ask for the total monthly charge for your actual seat count in writing rather than reading the headline as a company price.
- Your ERP, which decides whether the published prices apply at all. Xero, QuickBooks and Sage Intacct sit on the two priced plans, Clio arrives on Business Plus, and NetSuite, Microsoft Business Central, SAP and Oracle Fusion are listed only from Enterprise. Kolleno also advertises an open API and more than 1,000 integrations, so ask whether an API-based connection to your system counts as a standard integration or as custom ERP work, because the two land on different plans.
- Invoice volume against the ceiling for your plan. Business Pay is listed for fewer than 100 invoices and Business Plus for fewer than 300, with Enterprise at over 1,000. If your monthly volume sits near a boundary, get the answer to what happens when you cross it mid-term before you commit, not at renewal.
- Billing frequency, which Kolleno prices openly. The monthly rate is $650 per user on Business Pay and $1245 per user on Business Plus, against $545 and $995 on annual billing, so annual commitment is the cheaper path by a visible margin. Decide whether you want that saving or the option to leave after a quarter.
What costs extra
- Onboarding and training are tiered rather than priced separately: self-onboarding on Business Pay, three hours on Business Plus, six on Enterprise and eight or more on Enterprise Plus. If you want hands-on configuration, the cost shows up as a plan upgrade.
- SMS and call allowances are bundled by plan, from 100 each at the entry level to 600 on Enterprise Plus, and no overage rate is published. Ask what a message or a call above the allowance costs.
- Auto reconciliation, human agent support, 24/7 support, Kolleno connector configuration and a dedicated customer success manager appear only on the two Enterprise plans, so they are not add-ons you can buy onto a priced plan. They come with the move to a quoted tier.
Implementation and commercial terms
The rows below are what the Kolleno pricing page confirms as of 16 October 2026. Where a row says nothing is published, treat it as a question for sales rather than as reassurance.
- Published price
- Yes, for Business Pay and Business Plus. Enterprise and Enterprise Plus are Custom.
- Billing basis
- Per user per month, with a monthly and annual toggle and a minimum seat count per plan.
- Minimum users
- 1 on Business Pay, 2 on Business Plus, 3 on Enterprise, 4 on Enterprise Plus.
- Implementation fee
- None published. Training and onboarding is an included feature from Business Plus upward, with hours set by plan.
- Free trial
- None listed on the pricing page. The two priced plans carry a Get Started button and the Enterprise plans a Speak to Sales button.
- Certifications
- ISO 27001, SOC 1 Type II and SOC 2 Type I and II, with GDPR alignment, per Kolleno's own pages.
Budget Kolleno from the minimum seats up, not from the headline. On annual billing, Business Pay is $545 per user per month with one seat required and Business Plus is $995 per user per month with two, so multiply by the number of collectors who will actually log in and add the managers who need the invoice dashboard. Then check two gates before you model anything further: whether your ERP is on your plan, and whether one entity and one region describe your business. If either answer is no, you are pricing Enterprise, nothing is published for it, and the comparison you want is against a vendor that does publish at that level. Put Chaser's rate card next to your quote and make the Enterprise premium justify itself out loud.

What Kolleno gives up
You give up the published price the moment your ERP changes. NetSuite, Microsoft Business Central, SAP and Oracle Fusion are listed only from Enterprise, and Enterprise has no figure attached. That is a clean, honest packaging decision and it also means the transparency that makes Kolleno attractive evaporates for exactly the buyers who most need to compare quotes. If you are on one of those four systems, read the rate card as context for a negotiation rather than as your price.
You give up multi-entity and multi-region on anything you can price. Both published plans list one business entity, one region and one ERP account, with multiple accounts, multiple entities and unlimited regions arriving at Enterprise. A group with three subsidiaries invoicing from two countries is an Enterprise buyer whatever its turnover, so the turnover bands can mislead you into thinking a cheaper plan is available when the structural limits say otherwise.
You give up predictability on outbound phone and text. The SMS and call allowances are fixed per plan at 100, 200, 400 and 600, and no overage rate is published anywhere on the page. For a team whose collections depend on calling, that is an unpriced variable in a product otherwise notable for publishing its prices, and it is worth getting in writing before you sign.
You give up a self-serve evaluation. The pricing page lists no free trial, and the route in is Get Started or a demo. Our database row flags a free trial for Kolleno, but the page pulled on 16 October 2026 lists none, so confirm with the vendor before you plan an unassisted pilot. That matters more than usual here, because the AI agents are configured from your own credit policy and tone settings, and a product you cannot configure yourself is a product you cannot evaluate yourself.
You give up cheap seats for occasional users. The price is per user per month with no published approver-only or read-only rate, so a manager who logs in to look at the invoice dashboard once a week costs what a full-time collector costs. Compare that with the plans in this category priced on invoice volume or annual revenue rather than seats: Gaviti says its pricing is usage-based rather than per user, and Upflow prices on annual invoiced revenue with unlimited seats. If your AR team is small and your audience of viewers is large, per-seat pricing works against you.
How Kolleno compares
The first useful cut in AR automation is whether you can read a price at all, because it decides how much of your evaluation is modelling and how much is negotiation. Kolleno and Chaser both publish rate cards. Upflow publishes one add-on figure and quotes its plans. Quadient publishes nothing for AR. Every price below comes from that vendor's own pricing page, checked on 16 October 2026, and anything unpublished is recorded as unpublished rather than estimated.
| Tool | Best for | Price | Where it breaks |
|---|---|---|---|
| Kolleno | Xero, QuickBooks or Sage Intacct teams wanting agent-run collections against a published per-user price | $545 and $995 per user/month on annual billing | One entity and one region on the priced plans, and NetSuite or SAP pushes you to a quoted tier |
| Chaser | Collections-first teams that want tiers set by revenue rather than seats, with a free trial | From $259, $779 and $1169 per month | The managed service is a second price layer, and the entry plan caps users and workflows |
| Upflow | Teams that want unlimited seats and pricing tied to annual invoiced revenue | Plans quoted; Upflow Payments add-on $390 per month plus card and ACH fees | Invoice caps per plan can bite before the revenue cap, and the plan price itself is unpublished |
| Quadient AR | Enterprises wanting credit, collections, disputes, payments and cash application from one suite vendor | Not published, quote only | No pricing basis published at all, and print and postage are a separate cost line |
What to test in a Kolleno demo
The pricing page lists no free trial, so plan on a demo and a scoped proof of concept rather than a self-serve pilot. Because the published prices come with hard plan limits, the demo has two jobs: prove the agents behave, and establish which plan you are actually buying.
- Open with the plan test, not the feature tour. Name your ERP, your entity count, your region count and your monthly invoice volume, and have them tell you which of the four plans you land on. If the answer is Enterprise, the published figures stop being relevant and you should switch the conversation to a quote and a line-item breakdown immediately.
- Make the AI agents work your real escalation ladder. Upload a redacted version of your credit policy, set the tone and language you actually use with customers, and watch an agent draft follow-ups at each autonomy level: insight, copilot and independent execution. The thing to test is the handover, so make them show what happens when a customer replies with a dispute rather than a payment.
- Push a messy payment run through cash application. Bring a part payment, a payment covering several invoices and a remittance that arrives separately, then check the matching and what lands in your ledger. Auto reconciliation is listed only on the Enterprise plans, so confirm exactly what matching you get on the plan you can afford.
- Connect the ledger you run and verify the postings yourself. One ERP account is included on both priced plans, so raise invoices, take a payment through the portal and then check the resulting entries in Xero, QuickBooks or Sage Intacct rather than taking the dashboard's word for it. If your system is reached through the open API rather than a one-click connector, ask in this session whether that counts as custom ERP work.
- Settle the commercial gaps before you sign. Get the total monthly figure for your seat count at the minimum, confirm the billing currency given that prices are in dollars and turnover bands in pounds, ask what happens when you cross the invoice ceiling mid-term, and get the overage rate for SMS and calls above your plan's allowance. Ask about the trial too: the page lists none, so any trial you have been promised should be in writing.
Frequently asked questions about Kolleno
How much does Kolleno cost?
As of 16 October 2026 Kolleno publishes Business Pay at $545 per user per month on annual billing and $650 per user per month billed monthly, and Business Plus at $995 and $1245 on the same basis. Enterprise and Enterprise Plus are marked Custom, so those come from a quote.
Does Kolleno have a minimum number of users?
Yes, and it sets your floor cost. The plan comparison table lists a minimum of 1 user on Business Pay, 2 on Business Plus, 3 on Enterprise and 4 on Enterprise Plus. Because the published figures are per user per month, multiply by the minimum before you compare plans.
What does Kolleno Enterprise cost?
Kolleno publishes no figure for Enterprise or Enterprise Plus. Both are listed as Custom with a Speak to Sales button. Ask for the total monthly charge at your seat count, the invoice volume band written into the order form, and the renewal uplift before you commit.
Does Kolleno integrate with NetSuite?
Yes, but not on a published plan. NetSuite, Microsoft Business Central, SAP and Oracle Fusion are listed only from Enterprise upward, while Business Pay and Business Plus cover Xero, QuickBooks and Sage Intacct, with Clio added on Business Plus. Custom ERP work sits on Enterprise Plus.
What does Kolleno do?
Kolleno is an order-to-cash platform for B2B receivables. It covers collections management, online payments through a customer portal, cash application, disputes, credit risk monitoring and cash flow forecasting, with AI agents handling the follow-ups and matching that a collections team would otherwise do by hand.
How do Kolleno's AI agents work?
You upload your credit policy and set the rules, and Kolleno builds task-specific agents from it. You choose the autonomy level for each: insight only, a copilot that drafts work for review, or independent execution. Tone, language, escalation triggers and follow-up timing are configurable per agent.
Does Kolleno offer a free trial?
The pricing page pulled on 16 October 2026 lists no free trial. The two priced plans carry a Get Started button and the Enterprise plans a Speak to Sales button. Our database row flags a trial, so confirm directly with the vendor before planning an unassisted pilot.
Can Kolleno handle multiple entities and currencies?
Multiple entities and unlimited regions are listed only on the Enterprise plans. Both priced plans cover one entity, one region and one ERP account. Kolleno says it recognises more than 150 currencies and reports in the currency of your country of establishment, with reports splittable by currency or region.
What security certifications does Kolleno hold?
Kolleno's own pages list ISO 27001 certification, SOC 1 Type II and SOC 2 Type I and II, and alignment with European GDPR. A trust centre and a data processing addendum are published. Ask for the current audit reports and the data retention terms during procurement review.
How does Kolleno compare with Chaser?
Both publish rate cards, which is unusual here, but they meter differently. Kolleno charges per user per month with a minimum seat count and gates ERPs by plan. Chaser sets tiers by total annual revenue with unlimited users above its entry plan, and publishes a free trial.
