How Multi-Entity Organizations Should Choose AR Automation Software
Once a group bills from three or four legal entities, the same customer often owes money to more than one of them. A single remittance can cover invoices from two companies, the cash lands in one bank account, and somebody has to split it before month end. Group DSO looks fine while one subsidiary quietly drifts to 70 days.
What receivables look like across several entities
Typical setup: each entity has its own ledger, sometimes its own ERP instance, its own bank accounts and often its own invoicing currency, while the credit and collections team is shared.
- A view of every open invoice a customer owes across all entities, plus a per-entity cut for the local controller.
- Cash posted to the entity that issued the invoice, even when the payer sends one lump sum for several companies.
- Invoices, reminders and payments in the currency each entity bills in.
- DSO and aging reported by entity as well as for the group, so a weak subsidiary can't hide inside the total.
- Connections to more than one ERP instance, or to different ERPs after an acquisition.
What to weight when entities multiply
- Ask how the product models an entity: a filter on one tenant, a separate workspace, or a separate contract. It decides whether collectors see one customer or four.
- Bring a real payment that covers invoices from two entities to the demo and watch how it gets split and posted to each ledger.
- Check pricing mechanics: some vendors tier by invoiced revenue or charge per entity, which changes the bill after the next acquisition.
- Confirm each ERP connector you run today, not just the one at the parent.
- Look at the customer-facing side: can a buyer who owes two of your companies see and pay both from one place?
The shortlist, and why each tool is on it
Ordered by how directly our sources document support for several entities, currencies or ERPs, starting with the tool that sells entity dashboards as a plan feature.
1. Upflow
Upflow's published plans name entities directly: multi-entity dashboards come with Grow, and Accelerate allows unlimited entities in one dashboard. Seats are unlimited on every plan, so a shared collections team doesn't pay more per subsidiary.
Watch for: Plans are tiered by invoiced revenue (Accelerate tops out at $100M a year), so check which tier your combined group revenue lands in. The Cash Application Agent also starts on Accelerate. Read the full Upflow profile.
2. Order2Cash
Our profile credits Order2Cash with good multi-country and multi-currency capabilities and deep knowledge of EU e-invoicing mandates. That matters for groups whose subsidiaries sit in different European countries with different invoicing rules.
Watch for: It is less recognized outside Europe, and US-focused groups may find local support thin. Expect compliance mapping before go-live. Read the full Order2Cash profile.
3. HighRadius
Built for shared service centers running several ERPs, with pre-built integrations to more than 50 ERPs and systems. If each acquired entity kept its own ERP, this is the platform most likely to connect all of them without a rebuild.
Watch for: Each module is priced separately and a full rollout is a multi-month project. A group of three mid-sized entities may be paying for enterprise capacity. Read the full HighRadius profile.
4. Versapay
Connects to NetSuite, Sage Intacct and Dynamics 365 through APIs or flat files, which helps when entities don't share an ERP. Its customer portal lets buyers see invoices, pay and raise disputes against the same record your team works from.
Watch for: Our sources don't describe how Versapay separates entities or currencies. Ask whether one portal can show a customer invoices from several of your companies, and which connectors are included. Read the full Versapay profile.
Runner-up and who should skip what
Runner-up: Esker, for groups that run SAP across entities and want AR and AP automation from one vendor. It's off the list because our profile says nothing specific about multi-entity or multi-currency handling on the receivables side.
Usually a poor fit: BILL once several entities and high volumes are involved; its own profile says it is less suited to multi-entity groups. Chaser and Kolleno target smaller teams with straightforward invoicing on QuickBooks or Xero, not intercompany cash splitting.
Paying suppliers across the same entities? Compare AP automation for multi-entity groups. For matching payments at volume, see cash application software.
Shortlist candidates for Multi-Entity Organizations
Order2Cash covers e-invoicing, collections, cash allocation, and dispute management with a strong European compliance focus.
AI-based order-to-cash, treasury, AP and record-to-report software for large finance teams, sold as modular annual subscriptions.
Collaborative AR automation with a customer payment portal, cash application, collections and built-in ACH and card payments.
Frequently asked questions
Should each entity have its own AR automation account?
+
Usually not if the same customers buy from several entities, because collectors end up chasing one customer from four places. Separate accounts can make sense when entities share no customers and have separate finance teams.
How should we handle a payment that covers invoices from two entities?
+
Decide the accounting first: which entity receives the cash and how the intercompany balance is booked. Then test whether the tool can apply one payment across both ledgers or needs a manual split.
Is group DSO enough for a multi-entity business?
+
No. A strong entity can mask a weak one in the group figure. Report DSO and aging by entity monthly and by customer across entities for the largest accounts.
What changes after we acquire another company?
+
Expect a new ERP, a new bank account and overlapping customers. Check whether adding an entity is a configuration change or a new contract, and whether the price tier moves with the added revenue.
