How Finance Teams Should Choose AR Automation Software

Most AR teams start the morning in an aging report and an inbox full of customers asking for invoice copies. The work is deciding who to call, sending the right reminder, logging what the customer promised and chasing the dispute nobody owns. Software earns its keep here when collectors stop building their own lists.

What the people doing collections need

The team is usually two to six people splitting accounts by customer or region, working from the ERP aging and a shared mailbox, with a manager who reports overdue balances weekly.

  • A daily worklist ranked by risk and balance, not by invoice number.
  • Reminder sequences that go out by email, SMS or letter without a collector pressing send.
  • Disputes logged against the invoice with an owner, so they stop bouncing between sales and finance.
  • A place to record what the customer promised and when, visible to whoever picks up the account next.
  • A customer portal where buyers download invoices and pay, which cuts the copy-request emails.

How a collections team should judge the tools

  • Have your own collectors run the demo, not the controller. Ask them to work ten real overdue accounts end to end.
  • Check how accounts are assigned and reassigned when someone is out; a worklist tied to one person breaks during holidays.
  • Ask how promise-to-pay dates are captured and whether a missed promise triggers the next step automatically.
  • Look at seat pricing. Per-user plans can make it expensive to give sales or account managers read access to disputes.
  • Confirm reminders thread back into the collector's own mailbox so replies aren't lost.

The shortlist, and why each tool is on it

Ordered by how much of the collector's daily loop each tool covers, from AI-ranked worklists with dispute tracking down to simpler reminder tools for smaller teams.

1. Quadient AR (formerly YayPay)

Quadient AR (formerly YayPay) predicts payment behavior to rank the collections queue and tracks disputes in the same product. Reminders and invoices can go out by print or digital channel per customer preference, which helps teams with buyers who still want paper.

Watch for: No published pricing or free trial, and older YayPay reviews may not match the current Quadient product. Ask for the implementation plan in writing. Read the full Quadient AR (formerly YayPay) profile.

2. Upflow

Unlimited seats on every plan means sales reps and account managers can join a dispute without a license debate. Reminders go out by email, SMS, call and letter, with two-way Gmail and Outlook integration so replies land where collectors work.

Watch for: The branded payment portal starts on Grow, the rules engine and Collections Agent on Scale. A team on Starter gets less of the daily workflow than the demo may show. Read the full Upflow profile.

3. Gaviti

Ranks customers by payment risk and suggests the next action for each collector, with dispute tracking, credit alerts and a self-service payment portal. Our profile describes a fast implementation.

Watch for: Its autonomous features need clean data to perform well, and our profile rates its dispute workflow as less mature than HighRadius or Order2Cash. Read the full Gaviti profile.

4. Kolleno

Multi-channel collection workflows and a self-service payment portal, plus credit risk scoring that tells a collector which accounts to watch. Priced per user with a free trial, so a small team can test it on real accounts first.

Watch for: An early-stage vendor with advanced reporting still maturing. Per-user pricing adds up if you want sales on the platform too. Read the full Kolleno profile.

5. Chaser

Automated email and SMS reminders and a tracked communication history for each debtor, plus a payment portal. It connects directly to Xero, QuickBooks and Sage and has a free trial.

Watch for: Cash application and credit management are limited, and there are no advanced dispute workflows. It suits teams with straightforward invoicing. Read the full Chaser profile.

Runner-up and who should skip what

Runner-up: Versapay, for teams whose customers mostly dispute or short-pay invoices, since buyers can raise questions in its portal. It's off this list because our profile rates its collections prioritization as less AI-driven, so the worklist side is thinner.

Usually a poor fit: HighRadius for a team of three: its own profile warns that mid-market teams often find it oversized. BILL's receivables side also falls short here, with no AI-driven collections or advanced dunning sequences in our profile.

Frequently asked questions

How many collectors does it take before AR software pays off?

+

There is no fixed number. It tends to pay off once one person can no longer review every overdue account each week, or when inbound invoice-copy requests eat a large share of the day.

Can we keep sending reminders from our own email address?

+

Often yes. Upflow lists two-way Gmail and Outlook integration. Ask each vendor whether replies come back into the tool and link to the right customer.

Does a payment portal really reduce inbound requests?

+

Only if customers use it. Put the portal link in every invoice and reminder, and measure copy-request emails before and after go-live.

Should sales have access to the AR tool?

+

For disputes, usually yes, because many disputes need a sales answer. Check whether the pricing is per user or unlimited seats before you promise access.
